Shipping & Freight Policy

Welcome to Valenor Distribution (a division of V&C Influitive Creators LLC). Because we operate strictly as a Business-to-Business (B2B) distributor, our shipping terms, lead times, and freight procedures differ from standard retail e-commerce. Please read our guidelines below to understand how shipping is handled for both standard parcel orders and large-scale bulk freight shipments.
1. General Processing & Lead Times
- In-Stock Orders: Standard processing time for in-stock inventory is 1 to 3 business days from receipt of cleared payment.
- Backorders & Special Orders: Lead times for out-of-stock or custom orders will be detailed directly on your invoice.
- Cut-Off Times: Orders finalized after 2:00 PM EST will begin processing the following business day.
2. Small-Scale Orders (Standard Parcel & Ground)
For orders below pallet quantities (generally orders weighing under 150 lbs that do not require freight transport):
- Carriers: We primarily ship small parcel orders via UPS, FedEx, DHL, or USPS.
- Shipping Rates: Shipping fees are calculated dynamically based on weight, volume, and destination zip code, and are appended directly to your invoice.
- Tracking: Once your shipment leaves our Davenport, Florida warehouse, tracking numbers are generated and sent via email within 24 hours.
3. Large-Scale Orders (LTL & FTL Freight)
For large B2B purchases requiring palletized transport (single mixed pallets up to full truckloads):
- Carrier Arrangements:
- Valenor-Arranged Freight: We can secure competitive LTL (Less-Than-Truckload) or FTL (Full-Truckload) freight rates through our network of carrier partners. Shipping quotes will be added as a separate line item to your proforma invoice.
- Client-Arranged Freight (Collect/EXW): You are welcome to arrange freight transport using your own carrier or third-party freight forwarder. Under EXW (Ex Works) terms from our Davenport, Florida warehouse, you must supply a completed Bill of Lading (BOL) at least 24 hours prior to scheduled pickup.
- Delivery Requirements: Standard freight quotes cover docks-to-dock transit to commercial addresses. You MUST notify us at the time of order if your location requires:
- Liftgate Service: Required if your delivery facility does not have a standard loading dock or forklift.
- Residential Freight Delivery: Subject to carrier residential surcharges.
- Delivery Appointment: Required by most commercial and residential facilities.
4. Amazon FBA Direct Shipments (Amazon Seller Prep)
As a leading supplier for Amazon sellers, we are fully equipped to ship inventory directly to Amazon Fulfillment Centers (FBA):
- FBA Prep Compliance: Our Florida team can handle standard labeling (FNSKU/UPC), poly-bagging, and compliance bundling. You must provide all required labels via your client portal during invoice settlement.
- Shipping via Amazon Partnered Carriers (SPD or LTL):
- If you are booking shipments in Amazon Seller Central using Amazon's Partnered Carriers, we will provide you with precise box counts, weights, dimensions, or pallet counts/configurations once your order is packed.
- You must email us the generated shipping labels and/or LTL Bill of Lading (BOL) within 48 hours of receiving these details.
- Delivery Reference: We strictly follow Amazon FBA shipping criteria, wrapping pallets in clear stretch film and adhering to standard height limits (usually 72 inches maximum).
5. International Shipping & Freight Forwarders
- We ship worldwide; however, all international shipments are processed under EXW Davenport, Florida terms.
- The buyer is fully responsible for all customs clearance, duties, import taxes, and local cross-border paperwork.
- If you utilize a domestic freight forwarder based in the United States (e.g., in Miami or Jacksonville), our shipping obligation is complete once the domestic carrier signs for the goods at the forwarder's warehouse.
6. Freight Inspection, Damage, & Discrepancies
Because freight rules are strict, the following protocols must be followed upon cargo arrival to qualify for any claims or refunds:
- Immediate Inspection: The receiving party must inspect all pallets and packages immediately upon arrival and BEFORE signing the carrier's Proof of Delivery (POD) or Bill of Lading (BOL).
- Notating Damages & Shortages: Any visible damage (torn shrink-wrap, broken pallets, dented cartons) or discrepancy in pallet count must be clearly written on the driver's POD/BOL. Example: "Damaged box received" or "1 pallet missing."
- Unsigned Claims: If a delivery is signed for without any written exceptions, the carrier is released of liability, and Valenor cannot issue refunds or credits for transport-related damage.
- Reporting Period: Any internal shortage, packing error, or hidden product damage must be reported to our office at contact@valenordistribution.com within 48 hours of delivery, accompanied by detailed digital photos of the damaged items and the signed BOL/POD.
